About The Growth Team
The 15 person Growth team is responsible for shaping Orchestra’s new business and growth strategy, focusing on integrating capabilities across firms, driving new business outreach and providing expert counsel on how to shape business growth for new and current clients across Orchestra and Orchestra companies.
About This Role
Orchestra is seeking a highly organized and proactive Growth Operations Associate to join our Growth team. In this role, you’ll be at the center of Orchestra’s business development efforts — managing inbound inquiries, coordinating prospect communications, and ensuring our CRM and project workflows are running seamlessly.
You’ll serve as the connective force that keeps our growth engine organized, responsive and data-informed. From managing our shared inbox and building leads in HubSpot, to optimizing Asana and tracking business development proposals across the Orchestra network, you’ll bring structure and momentum to every stage of our pipeline.
This role is ideal for someone who loves process and precision, thrives on keeping teams aligned and takes pride in ensuring that no opportunity or communication falls through the cracks.
Role location: This role is based in our New York, N.Y. office on a hybrid basis. Orchestra staff are in office 3 days per week.

Manage New Business Leads and Shared Inboxes
Serve as the first point of contact for inbound new business and partnership inquiries, managing Orchestra’s shared Growth inboxQualify, log and track leads in HubSpot, ensuring data accuracy, thoughtful follow-ups and timely scheduling of intake calls and introductions
Project Manage the Growth Team and Business Development Opportunities
Lead day-to-day project management for the Growth team using Asana to manage timelines, deliverables and accountabilityTrack all proposals, RFPs and pitch activities to maintain pipeline visibility, prioritize opportunities and ensure deadlines are metBuild and maintain repeatable systems and templates to streamline proposal coordination and collaboration
Maintain HubSpot & Business Development Reporting
Maintain and optimize HubSpot processes, reports and workflows to support accurate forecasting and pipeline healthPartner with the CRM Manager to generate dashboards that capture inbound activity, conversion rates and business development trendsEnsure reporting accuracy and consistency across Growth, Finance, Client and Marketing teams
Cross-Functional Coordination & Business Development Operations
Organize team check-ins, track to-dos, and ensure follow-up actions are documented and completedBuild and maintain systems for team time-tracking, expenses, case study management, and other standard operating procedures as neededSupport ad hoc strategic projects as assigned by Growth leadership
Essential Skills
2-3+ years of professional experience, preferably at a marketing or advertising agencyPolished writing and editing skills with a clear, concise email tone; able to represent Orchestra confidently in prospect-facing communicationThrives in cross-functional environments; able to bring clarity, communication and accountability to complex, multi-stakeholder projectsComfortable building structure from ambiguity—designing, refining and maintaining workflows in HubSpot and Asana to improve team efficiencyExpert at managing multiple projects, timelines, and details; ensures nothing falls through the cracks and deadlines are consistently metAbility to interpret reports and dashboards to track progress, identify trends and surface actionable insights without needing advanced analytics toolsExercises sound professional judgment and maintains confidentiality when handling client, prospect, and internal informationDiligent in maintaining clean data, tracking communications and ensuring accurate documentation across systems and proposalsTakes initiative to spot inefficiencies, flag upcoming needs and keep projects moving forward with minimal oversight
